This Privacy Policy explains how we collect, use, share and secure our users' personal data. We are responsible for collecting, holding and managing any personal data which you share with us. We will keep your personal details safe and secure and will use the personal data you provide lawfully and as explained below. We do not share your information with external companies and organisations.

What information do we collect?

  • Enquiries - when you contact us about a potential booking we will not hold any details from you for any use other than for our response to you. Nor is this information shared outside of our business partners.

  • Making a booking - When you contact us to make a booking, or about a booking already made, we will collect and hold certain details in relation to that booking to help us to manage our agreement with you, your arrival and stay. This information includes lead-guest name, contact details, address, dates of arrival and departure, mode of transport, time of arrival, names of other guests, ages of guests if 16 years or younger, any special requirements and possible allergies. For emergency reasons we may also request contact details of other guests in your party. A booking is placed online using our website xinarahouse.com and via our secure partner, Supercontrol Ltd who also operate to detailed data management and protection guidelines https://supercontrol.co.uk/privacy-policy so you can be assured that your data is safe.

  • Payments - We do not see any card payment number details as all payments are handled through a secure payment gateway third party Yapstone International Limited It is entirely their responsibility to manage your data according to legal requirements in line with the Financial Authorities and GDPR. We receive no more than the name and address of the cardholder, amount paid and issuing bank as confirmation of payments. We do not take telephone payments so no card details are held.

  • Website Use - We also collect information about website use from Google Analytics. This information does not identify individual people.

 

How do we use your information? The information you provide may be used in a number of ways, for example to enable us to respond to an enquiry, confirm your booking and payments made and make arrangements for your arrival.We will never pass your details to a third party outside of our booking and management processes and payment gateway.

How is my information managed, stored and deleted? Your data is held securely, using password encrypted technology for the length of time required by law for taxation purposes and under timescales specified for international travel. All data will be destroyed within legal timescales. We will ensure adequate protection is in place to protect the integrity and security of any information we process, hold and destroy and in compliance with applicable privacy laws. We review our privacy policy and its communication annually.

Your rights You have the right to ask us at any time to: -

  • confirm whether we hold any of your personal data, and where, and to send you a copy of what we hold about you
  • correct any inaccuracies in your personal data and add any you feel is helpful
  • delete (to the extent possible) any of your personal data, where we are required by law to do soto stop processing your personal data, where we are required by law to do so
  • stop processing any of your personal data that we process on the basis of our legitimate interest
